Job Description
As an Office Management Assistant, you will be responsible for consistently ensuring an excellent and welcoming atmosphere for visitors, candidates and employees entering our Statkraft Corporate office in the heart of Düsseldorf. This includes a professional operation and state-of-the-art appearance of the reception area, as well as administrative tasks to support the Office Management Team and your co-workers.
Responsibilities:
- Provision of a professional and welcoming reception service at our corporate office
- Handling of telephone switchboard, general email account and incoming faxes
- Management of structure access (digital visitor registration, access card management for new starters, etc.)
- Coordination and preparation of shipments, recording of incoming/outgoing mail and deliveries
- Warehouse and inventory management (stationary, office supplies)
- Maintenance of meeting rooms and community areas
- Logging of activities, consumptions, visits, and incidences
- Management of small orders of fruit, coffee, and other office consumables
- Coordination of events
- Further administrative support
Qualifications
- Experience in office management, co-working industry or hotel reception
- Strong organizational skills
- Professional and friendly attitude with excellent communication skills
- Empathic mindset combined with great interpersonal abilities and the willingness to help
- Fluent German and English language skills, other languages are advantageous
- Ability to prioritize tasks
- Agile physical condition (occasional handling of heavier boxes or furniture may occur)
- Use of Microsoft applications (Word, Excel, PowerPoint)
- Willingness to learn
- Flexibility to adapt to a dynamic and growing environment
