Tasks

We are seeking a highly organized and versatile individual to join our team as an Office All-Rounder for the morning, a few days in the week. As the first point of contact for our headquarters office in Zurich, you will play a crucial role in ensuring smooth operations and providing administrative support across various departments.

The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills in English and German.

Front Desk Management:

  • Greet visitors and ensure they are attended to promptly and professionally.
  • Manage incoming calls and redirect them appropriately.
  • Handle incoming and outgoing mail and packages.

Administrative Support to CEO:

  • Assist with general administrative tasks such as filing, data entry, and document preparation.
  • Coordinate meetings and appointments, including room bookings and arranging refreshments whevener required.
  • Assist with travel arrangements and accommodations.
  • Assist with with expenses reconciliation when required.

Facilities Management:

  • Monitor and maintain office supplies inventory, placing orders as needed.
  • Liaise with vendors and service providers to ensure office equipment and facilities are in working order.
  • Assist with office logistics, including setup and cleanup for meetings and events.

Assistance to Various Departments:

  • Provide administrative support to different departments as required, including HR, finance, and marketing.
  • Assist with special projects and initiatives as assigned by department heads.

Requirements

  • Previous experience in a similar administrative or office support role preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities with keen attention to detail.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and other office software.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Fluency in English and German (both written and spoken) is required; additional languages are a plus.
