Job description:
The GSI Helmholtzzentrum für Schwerionenforschung in Darmstadt operates one of the leading particle accelerators for science. Your tasks:
- In this position, you will be responsible for commercial activities within FAIR procurement and FAIR in-kind contributions. In particular, you will handle invoice verification and approval in SAP as well as via email. You will track procurement processes both on the supplier side and within SAP, manage PMO approvals for procurement-related activities, and create and maintain shopping carts in the SAP system.
- Another key focus of your role will be the coordination of in-kind projects. This includes preparing contracts with the participating companies (in-kind providers) and with governmental authorities. You will prepare for and participate in negotiations, especially for critical in-kind work packages with scheduling or technical challenges. Furthermore, you will monitor contract execution with regard to quality assurance and compliance with delivery schedules. In the event of issues, you will identify root causes in close coordination with relevant stakeholders such as sub-project managers, the PMO, shareholders, partners, project procurement, and FAIR Legal. You will develop solution proposals and implement preventive and corrective measures to ensure delivery deadlines and successfully resolve complex multi-factor issues.
- In addition, you will be responsible for FAIR costbook management. You will update the FAIR costbook as a central management tool for FAIR shareholder contributions and prepare the necessary documentation for any changes to the costbook.
Your profile :
- You hold a technical or commercial university degree and have proven experience in processing orders and/or contracts related to the provision of goods, equipment, and services within an international large-scale research project.
- You bring solid project management experience from the execution of complex international large-scale projects.
- You demonstrate a strong affinity for financial accounting tasks and work with a high level of accuracy and attention to detail. You are confident in handling commercial and administrative processes and have good SAP knowledge. Very good Excel skills complete your profile.
- Excellent communication skills in an international environment are essential for this position. You have a very good command of German, both written and spoken, and a good command of English, both written and spoken.
- Experience in engineering or procurement, ideally in one or more of the following areas—magnets, vacuum (UHV), cryogenics, or accelerator physics—is an advantage.

The position is limited to 2 years . The salary and benefits are based on the Collective Agreement for the German Public Service (TVöD-Bund) effective at GSI.
