Proclinical is seeking a Service Administrator to join a dynamic team fully on-site in Hamburg. In this role, you will play a key part in ensuring smooth service operations by coordinating appointments, managing documentation, and supporting the service team. This position is ideal for someone who is detail-oriented, organized, and enjoys working in a fast-paced environment.

Responsibilities:

• Be the main point of contact for customer and internal service-related inquiries.
• Schedule and coordinate service appointments for field engineers.
• Handle service requests, warranty claims, and maintenance contracts.
• Keep accurate records of service activities, customer details, and equipment history.
• Monitor spare parts inventory and assist with logistics for orders and returns.
• Prepare service quotes, invoices, and follow up on purchase orders and billing.
• Work closely with service, sales, and finance teams to ensure customer satisfaction.
• Ensure compliance with internal processes and external regulations.
• Provide general administrative support to the service team as needed.

Key Skills and Requirements:

• Experience in an administrative or customer service role, preferably in a technical or medical device setting.
• Strong organizational and communication skills.
• Proficiency in Microsoft Office and familiarity with CRM or ERP systems (e.g., SAP, Salesforce).
• Ability to manage multiple tasks and work effectively under pressure.
• Fluency in German and good English skills, both written and spoken.
• A proactive and responsible approach to work.
