What would be your key responsibilities
- You act as system administrator for the SPARK Hub, supporting the Sales Enablement team
- You track agency uploads of raw files and serve as the main contact person for related questions
- You support the development and administration of Marketing Academy training programs
- You manage budgeting and invoicing processes across the Nutrition Marketing organization
- You consolidate annual marketing and insights plans into a comprehensive cross-business overview
- You coordinate contractor ID setups and approvals for marketing contractors
- You oversee LinkedIn Learning administration and access permissions for Marketing and Product team members
- You attend and support monthly Marketing Council Meetings, including preparation of agendas and tracking action items
- You regularly update global Marketing organizational charts and employee lists for the Leadership Team (quarterly)
- You manage and maintain the Global Marketing Calendar on Microsoft Teams
- You help organize global quarterly webcasts (Marketing Webcast, Sales Leadership Webcast, Innovation Week, etc.)
- You track deliverables across Marketing Development Workstreams and provide updates to the Marketing Council
- You manage updates and content on the MCI SharePoint page
- You maintain a library of secondary and proprietary research projects
- You contribute to special projects as needed (e.g., marketing certifications, communication guidelines, etc.)
- You support day-to-day office tasks in Heidelberg, including post collection rotation, office supply management, and participation in safety/first aid duties
- You have already worked in a marketing assistant or coordination role and understand the dynamics of supporting fast-paced teams
- You are highly organized, structured, and enjoy coordinating and delegating tasks across projects and teams
- You are tech-savvy and confident in using tools such as MS Teams, SharePoint, Outlook, and other collaboration platforms
- You are fluent in English – both written and spoken – and have a working knowledge of German to support occasional on-site tasks in the Heidelberg office
- You are open-minded, creative, and bring a fresh perspective to everyday tasks
- You take initiative, understand tasks without needing detailed instructions, and work proactively to find solutions
- You are eager to learn, grow, and continuously develop your professional skills
- You thrive in cross-functional collaboration, working with various departments and stakeholders beyond Marketing – including senior leadership and VPs
- You enjoy being the central point of coordination and bring positive energy into team interactions
