***Bonus*** $3,000 hiring bonus - $1000 after first 30 days of successful employment, $1000 after 90 days of employment, and $1000 after 6 months employmentPurpose:
The Housing Financial Administrator executes and monitors subsidy operations. The HFA will be responsible for financial administration activities relative to the Housing areas at Guild. They facilitate collaborative work between accounting, clinical, and compliance teams to ensure accurate, timely, and ethical administration of housing subsidies.
Key Responsibilities:
Duties and Responsibilities:
- Prepare, maintain, and utilize individual records to ensure compliance with applicable state and federal regulations, and accurate documentation.
- Prepare monthly rent records and provide completed spreadsheet to accounting.
- Ensure re-certifications are completed as required. Prepare, duplicate, and distribute housing documents/contracts as needed.
- Create and manage shared electronic folders and utilize and maintain file and retrieval systems.
- Perform initial, annual, and audit-related file reviews to ensure that files are following funding source requirements.
- Follow agency communication standards to ensure internal partners have information needed to perform their responsibilities related to client housing.
- Improve and maintain subsidy administration systems, update subsidy databases.
- Identify and assess barriers to successful and efficient execution of housing subsidies.
- Create processes and assist with system development to improve functionality.
- Identify opportunities to improve subsidy administration operations, including implementation of projects related to process improvement
- Provide training to stakeholders on housing topics.
- Responsible for managing training material related to the subsidy program.
- Responsible for managing direct reports within the subsidy program, such as the subsidy coordinator.
- Manage program functions for Rental Assistance only Program (RAP).
- Create and compile information for reports that capture identified aspects of subsidy administration.
- Assess reports for accuracy and distribute to appropriate stakeholders.
- Share observed trends and possible compliance risks with Housing leadership and appropriate stakeholders
Required Skills/Abilities:
- Knowledge of mental illness and the needs of people with mental illness.
- Basic math knowledge and skills to execute rental transactions.
- Ability to develop and maintain receptive, open, and approachable lines of communication with clients and staff, and provide a friendly environment for visitors.
- Strong written and verbal communication skills, including composing, proofreading, and editing.
- Presentation and meeting facilitation skills.
- Ability to work as a proactive and positive member of a team to deliver quality services.
- Ability to maintain confidentiality of organization, personnel information, and client data.
- Ability to use sound judgment and maintain healthy professional boundaries.
- Analytical and problem-solving skills.
- Ability to meet deadlines and set priorities.
- Proficiency with a variety of web-based software and databases, including Microsoft Office Suite, accounting programs, and electronic health records systems.
Working Conditions:
- Work is performed in an office environment with frequent interruptions.
- This position requires travel to client residences to perform housing inspections.
- Some activities may be required in the community.
- Travel may be required to other program sites.
- Prolonged periods at a desk, working on a computer.
- Manual dexterity for tasks such as taking notes, using technological devices for documentation, or assisting clients with certain activities if needed.
- Must be ambulatory and able to negotiate stairways.
- The ability to lift and carry heavy weights that could be up to 25 pounds.
Education and Experience:
- High school diploma or GED
- 2 years of full-time, professional experience working in an administrative or coordinator role.
- Demonstrated professional experience working with complex housing funding streams and federal requirements.
- Demonstrated professional experience with housing system navigation, HUD-funded programs, and program audits.
Additional Requirements:
- Must not be actively receiving services from Guild and must not have received services within the last two years.
- A valid Class ‘D’ Driver’s License, reliable vehicle, satisfactory driving record and necessary insurance.

The salary range for this position is between $55,000-$70,000 annually. The range reflects the minimum and maximum salary for the position. Compensation will depend on the candidate’s professional experience, skills, and relevant education, training, and certifications.
