Position Description
The Legal Admin Assistant is an integral role in the department and is responsible for providing direct administrative support to attorneys within the EMEA team. It is essential that the role maintain confidentiality of proprietary materials and information and ensure that tasks are completed accurately.

- Location: Zurich, Switzerland or London, United Kingdom
- Language Requirements: Excellent English skills both written and verbal are essential
Key Responsibilities
- Administrative support for attorneys, working for up to 5 attorneys in one of the EMEA areas of Development, Franchise, Operations and Asset Management, or from one of the other legal areas.
- Compose, type/merge, compare, format, proofread and transmit legal documents and correspondence.
- Prepare, revise, edit and proofread extensive correspondence and legal documents.
- Prepare for transaction closings including preparation of execution documents and powers of attorney.
- Maintain confidentiality of proprietary materials and information.
- Demonstrate organizational, prioritization, proofreading, and attention to detail skills.
- Interpersonal skills necessary to communicate with a diverse group of attorneys, staff, and clients.
- Track the status of projects and correspondence requiring responses.
- Handle execution of legal documents, including coordinating with signatories.
- Enter matters in various databases such as iManage and TeamConnect.
- Create and maintain computer- and paper-based filing and organization systems.
- Organize and schedule meetings and conference calls.
- Handle all travel arrangements and coordinate logistics.
- Assist and work closely with the Executive Assistant/team leader with overflow as requested.
- Perform any other duties as necessary.
Candidate Profile
Education & Experience
- Experience as an administrative assistant in a law firm or corporate department preferred.
- Completed secondary education required, e.g. High School diploma.
Skills & Competencies
- Strong skills with MS Office, e.g., Word, Outlook, and PowerPoint.
- Proficiency or proven capacity to learn Teams/Sharepoint and database programs such as iManage.
- Strong attention to detail and ability to prioritize.
- Ability to proactively identify problems and develop solutions.
- Good time management, organizational and interpersonal skills.
- High degree of professionalism, diplomacy and tact.
- Impeccable integrity in confidential matters.
- Fast, accurate typing and strong word processing skills.
- Good judgment and professional demeanor.
- Diligence and strong work ethic.
- Ability to work independently and as part of a team.
- Excellent English skills both written and verbal.
