Job Description Summary:
As Executive Assistant (EA) to the Head of Communications, you will provide high-level administrative and strategic support to ensure the smooth and efficient operation of the Communications leadership office. You will act as a trusted partner by managing schedules, communications and key projects while maintaining confidentiality and professionalism. You will play a critical role in enabling the Head of Communications to focus on strategic priorities by anticipating needs, coordinating with internal and external stakeholders, and ensuring seamless execution of day-to-day activities.
Your Key Responsibilities:
Your responsibilities include, but are not limited to:
Executive Support:
Manage complex calendars, travel arrangements, and meeting logistics for the Head of Communications.
Prepare briefing materials, presentations, and reports for internal and external meetings.
Handle confidential correspondence and communications with discretion and professionalism.
Project Coordination:
Support the planning and execution of key communications initiatives and events.
Track progress on strategic priorities and ensure timely follow-up on action items.
Liaise with internal teams to gather information, coordinate deliverables, and support cross-functional collaboration.
Stakeholder Management:
Serve as a point of contact for internal and external stakeholders, ensuring timely and effective communication.
Build strong working relationships across the Communications team and broader organization.
Operational Excellence:
Maintain organized systems for document management, budget tracking, expense reporting, and administrative processes.
Identify opportunities to improve workflows and enhance efficiency within the office of the Head of Communications.
What you’ll bring to the role:
Essential Requirements:
Bachelor’s degree in Business Administration, Communications, or a related field preferred
Fluent in English (written and spoken); additional languages are a plus
Experience and Skills: 10+ years of experience in an executive assistant or senior administrative role, ideally supporting C-level or senior leadership
Experience in a corporate communications or global matrixed environment is a plus
Exceptional organizational and time management skills
Strong written and verbal communication abilities
High level of discretion, integrity, and professionalism
Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint, Outlook)
Ability to manage multiple priorities and work under pressure
Proactive, detail-oriented, and solutions-focused mindset
