The Embassy of the Arab Republic of Egypt in Berlin is seeking a highly organized, proactive, and friendly Administrative Assistant — someone who can keep the office running smoothly, support our diplomatic mission, and occasionally appreciate a good reference to pyramids, or the fact that “we’ve been doing administration for more than 6,000 years.”
Tasks
As an employee in the Back Office, you will serve as a key member of our team, ensuring effective coordination, communication, and administrative organization. You’ll support daily embassy operations, assist diplomats and colleagues, and help create a welcoming environment that reflects Egypt’s hospitality and professionalism.
Key Responsibilities (this includes but not limited to):
- Provide administrative and clerical support to the embassy & its departments
- Manage schedules, appointments, and official meetings, ensuring everything runs on time.
- Draft, proofread, and prepare correspondence, reports, press reviews, verbale notes, and documentation in German, English, and/or Arabic. Multilingual precision is essential.
- Handle incoming calls, consulate visitors, and inquiries with professionalism and warmth, offering the level of hospitality Egypt is famous for — even when the caller has had a long day.
- Assist in coordinating events, cultural programs, and official functions.
- Maintain and organize files, databases, and office supplies, keeping our internal world in order.
- Support consular services and general embassy operations as needed, jumping in wherever help is required. (Think of it as being part of a well-orchestrated team.)
- Contribute to a positive working environment, acting as a reliable, supportive colleague and strengthening the team spirit that keeps the embassy running smoothly.
- Handle VAT procedures — the less glamorous but very important part of embassy life.
- Assist with preparations and logistics for official visits.
- Embrace a role where everything is interconnected, giving you exposure to a wide range of tasks and experiences across diplomacy, culture, administration, and consular work. No two days are identical — which keeps things interesting.
Requirements
- A permanent residency permit or the German nationality
- A University Degree in a relevant field
- Proven experience in administrative, office management, or similar roles
- Excellent communication skills in English and German (Arabic is a significant advantage)
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a dynamic environment
- Proficiency in Microsoft Office and general office software
- Professional demeanor, discretion, and a collaborative spirit
- IT is a huge plus
