Your Mission
As Executive Assistant, you will play a key role in ensuring the smooth and efficient operation of daily activities. Acting as a trusted partner to the Chief Operating Officer (CoO), you’ll take ownership of a wide range of administrative and organizational tasks. You’ll be a central point of coordination—supporting the CoO directly while also enabling alignment and effectiveness across teams.
This is a dynamic, hands-on role for someone who thrives in a fast-paced, collaborative environment and brings both structure and initiative to the table.
Sneak preview of your future tasks
- Calendar & Scheduling
Manage the CoO’s calendar by prioritizing appointments, coordinating across stakeholders, and maintaining a well-structured and efficient schedule. - Meetings & Workshops
Organize and facilitate department-wide meetings and internal workshops—handling agenda planning, logistics, moderation, and post-meeting follow-ups including documentation and action tracking. - OKR & Hoshin Planning
Own and drive the OKR and Hoshin Kanri processes across the organization. Lead kickoff and check-in sessions, maintain oversight of key results, and ensure cross-team alignment on goals and priorities. - Project Onboarding
Independently lead onboarding processes for new project team members. Liaise with relevant stakeholders to ensure a structured, efficient, and welcoming onboarding experience. - Travel & Expenses
Coordinate business travel logistics from booking to itinerary management. Handle expense reports and reimbursements for travel and business-related meals or events in a timely and accurate manner. - Stakeholder Communication
Serve as a key contact point for internal and external stakeholders. Ensure all communications are professional, timely, and aligned with the CoO’s priorities. - Documentation & Presentations
Prepare high-quality presentations, reports, and briefing materials for internal and external leadership meetings, ensuring clarity and impact. - Cross-Functional Collaboration
Work closely with assistant teams and other departments to support alignment, share best practices, and contribute to smooth day-to-day operations. - Process Improvement
Take initiative in internal projects and help identify and implement improvements in administrative workflows and operational processes.
Your Profile
We’re seeking a highly organized and proactive Executive Assistant with a hands-on mindset and a passion for supporting leadership in a high-performance environment. You bring structure, clarity, and a collaborative spirit to everything you do.
Must-Haves:
- Bachelor’s or Master’s degree in Business administration, Management, or a related field
- 4–5 years of experience in an executive support or similar administrative role
- Excellent verbal and written communication skills in English
- Minimum B1-level German proficiency (spoken and written)
- Strong organizational skills and attention to detail
- Proven ability to manage multiple priorities with professionalism and discretion
- Proactive problem-solving skills and a "can-do” attitude
- Strong interpersonal skills and a collaborative, service-oriented work style
Nice-to-Haves:
- Experience in agile teams or environments
- Familiarity with the software or automotive industry
- Experience in Atlassian Tools
