Ghostnote 👻 is a fast-growing music startup based in Berlin. Since launching in February 2025, it is our mission to build the biggest label you've never heard of. At Ghostnote, we are creating music brands and ambient experiences designed to help people study, sleep, or just relax with our expertly curated playlists.
We mix startup energy with a deep love for music, creative design and building new communities. While we're data-driven and use tech to shape our ideas, we always trust our creative vision. Our founding team has already scaled music brands to over 1 billion Spotify streams, and our current team of 4 is channeling that experience into a fresh approach.
Tasks
The Role
We're seeking a Label & Operations Manager to serve as our first dedicated operations hire. You will take complete ownership of the day-to-day machine, freeing up the founders to focus on high-level strategy, creative direction and business development.
This isn't about just managing tasks; it's about building a scalable operational engine from the ground up. As our first full time hire, you’ll be stepping into a founder’s shadow position - building systems, managing freelancers and junior staff, and acting as the central point of contact for getting our music out into the world.
🚀 What You’ll Do
Release & Distribution Management
- Manage our release calendar and coordinate with production and data teams
- Handle end-to-end digital distribution: metadata, artwork coordination, release deliveries
- Oversee QA across our releases and playlists on all platforms (Spotify, Apple Music, etc.)
- Maintain relationships with distributors and DSPs
- Handle music licensing and rights clearances for releases
Operations & Project Coordination
- Coordinate creative projects with composers, designers, and freelancers
- Manage project timelines and deliverables for audio, visual and marketing assets
- Maintain organised asset management systems
- Delegate and oversee tasks with interns and contractors such as video editing and content batching
Marketing Operations
- Execute paid media campaigns on Meta platforms based on strategic direction
- Set up and manage technical aspects of ad campaigns
- Create and manage marketing assets including smart links for releases
Requirements
- 2-5 years of experience in an operational or project management role, ideally within the music industry, a digital media agency, or a creative startup.
- A systems-thinker. You don't just follow checklists; you are obsessed with creating, documenting, and improving them to build a flawless machine.
- Meticulous attention to detail, especially with metadata, asset management, and release scheduling.
- Proven project management skills with a track record of managing multiple complex projects simultaneously using tools like Monday.com, Asana, or Notion.
- Proactive and autonomous. You have a strong sense of ownership and can execute on a high-level goal without constant oversight.
- Very high personal ambition. You want to develop professionally, learn fast, take ownership, and grow your responsibilities as our company scales quickly.
- Basic digital editing skills with tools such as Adobe and CapCut is a plus.
- Based in Berlin and able to work in a hybrid setting with 2-3 office days per week.
