Tasks
As the Office Manager, your mission is to create a well-organized, efficient, and welcoming environment that enables the entire team to thrive. You will be the central point of coordination for office operations, supporting both day-to-day activities and long-term projects. By combining strong organizational skills with a people-oriented mindset, you will ensure smooth workflows, reliable administrative processes, and a positive atmosphere in the workplace. Your proactive approach and attention to detail will play a vital role in shaping the company culture and supporting the growth of a dynamic, international startup in Berlin.
What You’ll Own:
- Organize and coordinate office administration across multiple teams and projects
- Structure workflows and support management with internal processes
- Lead internal projects and coordinate company events
- Manage onboarding processes in close partnership with HR and team leads
- Set up and maintain basic technical infrastructure (telephony, meeting tools, workplace setup)
- Maintain document filing systems and order structures
- Handle preparatory accounting, document entry, and collaborate with tax consultants
- Manage travel arrangements, contracts, and related services
- Coordinate external service providers (mail, courier, shipping)
- Oversee procurement processes and support hospitality tasks
Requirements
- 5+ years of experience in office management, executive support, or project management
- Experience with preparatory accounting and document management
- Familiarity with M365, project management, and communication tools
- Strong organizational skills, initiative, and a proactive, structured approach
- Ability to substitute for personal assistants as needed
- Warm, empathetic, and people-oriented personality
- High motivation, positive energy, and professional demeanor
