Location: Berlin
Your tasks
- Support project managers in planning, tracking, and monitoring project progress
- Prepare project documentation, meeting agendas, minutes, and reports
- Assist in coordinating deadlines, deliverables, and communication between internal and external stakeholders
- Ensure projects remain on schedule by following up on action items
- Manage the day-to-day administrative tasks of the office
- Serve as the first point of contact for general inquiries and correspondence
- Maintain filing systems (digital and physical) and ensure accurate record-keeping
- Oversee office supplies and liaise with vendors for procurement and services
- Arrange and coordinate travel logistics, including flights, hotels, and transportation for executives
- Organize conferences, meetings, and company events, ensuring all details (venue, catering, materials, itineraries) are in place.
- Manage calendars, schedule meetings, and support executives with organizational tasks
- Draft and format correspondence, presentations, and reports
- Support onboarding of new team members and coordinate internal communications
Your profile
- Proven experience in office coordination, administration, or project support roles
- Strong organizational and multitasking skills with excellent attention to detail
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools
- Strong written and verbal communication skills
- Ability to work independently while supporting multiple stakeholders
- Discretion and professionalism in handling sensitive information
- Strong interpersonal skills and team spirit
- Flexibility and adaptability in a dynamic work environment.
