Location: Berlin

Your tasks

  • Support project managers in planning, tracking, and monitoring project progress
  • Prepare project documentation, meeting agendas, minutes, and reports
  • Assist in coordinating deadlines, deliverables, and communication between internal and external stakeholders
  • Ensure projects remain on schedule by following up on action items
  • Manage the day-to-day administrative tasks of the office
  • Serve as the first point of contact for general inquiries and correspondence
  • Maintain filing systems (digital and physical) and ensure accurate record-keeping
  • Oversee office supplies and liaise with vendors for procurement and services
  • Arrange and coordinate travel logistics, including flights, hotels, and transportation for executives
  • Organize conferences, meetings, and company events, ensuring all details (venue, catering, materials, itineraries) are in place.
  • Manage calendars, schedule meetings, and support executives with organizational tasks
  • Draft and format correspondence, presentations, and reports
  • Support onboarding of new team members and coordinate internal communications

Your profile

  • Proven experience in office coordination, administration, or project support roles
  • Strong organizational and multitasking skills with excellent attention to detail
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools
  • Strong written and verbal communication skills
  • Ability to work independently while supporting multiple stakeholders
  • Discretion and professionalism in handling sensitive information
  • Strong interpersonal skills and team spirit
  • Flexibility and adaptability in a dynamic work environment.
