Job Description

• Manage travel requests, bookings, and expense reporting using the Renesas travel management system
• Coordinate shipping orders, including PFI processing and customs number requests with Export Control
• Prepare and maintain Export Control declarations
• Administer the vendor management system, including onboarding and updating supplier records
• Support procurement process including RFQs, purchase requisitions and invoice verification
• Act as deputy/backup for other assistant, ensuring continuity of administrative operations
• Coordinate external contractors, on-site service inspections, and tracking of agreed deliverables
• Prepare meetings and maintain operational materials such as training documents, budgets, and signage

Additional Responsibilities

• Organize company-wide events, including summer and year-end events
• Administer and maintain SharePoint sites

Qualifications:

• At least 3 years of experience in a similar administrative role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and multitasking abilities.
• Very Good written and verbal communication skills in English.
• Detail-oriented with a high level of accuracy.
• Ability to work independently and as part of a team.
