We are currently looking for an Operations Integration Manager (m/f/d) Facilities Management in Schwalbach.
This role is crucial in ensuring that operational needs are effectively integrated into the project, promoting alignment between operations and project teams, and ultimately contributing to the project's success and operational efficiency.
Your tasks:
- Act as the primary point of contact between site operations team and project team
- Facilitate clear and effective communication between both teams
- Ensure all relevant information is shared timely and accurately
- Gather and document operational requirements from various operations team members
- Analyze and prioritize these requirements
- Create comprehensive reports summarizing operational needs for the project team
- Regularly attend project team meetings as the operations representative
- Present consolidated operational requirements to the project team
- Provide clarification and additional context on operational needs when required
- Collect project team responses and decisions related to operational requirements
- Communicate project progress, changes, and decisions back to the operations team
- Manage expectations on both sides regarding requirement implementation
- Identify potential operational risks or issues that may impact the project
- Collaborate with both teams to develop mitigation strategies
- Track and report on the status of identified risks and issues
- Assess the impact of project changes on operational processes
- Communicate necessary operational adjustments to relevant team members
- Support the implementation of new processes resulting from the project
- Maintain detailed records of all communications, decisions, and actions
- Prepare regular status reports for both operations and project management
- Document lessons learned and best practices for future projects
- Build and maintain strong relationships with key stakeholders from both teams
- Manage conflicting priorities and negotiate solutions when necessary
- Ensure all relevant parties are informed and aligned throughout the project
- Coordinating involved internal/external resources
- Work with the project team to develop operational readiness plans
- Coordinate operational testing and validation of project deliverables
- Ensure smooth transition from project implementation to ongoing operations
- Identify opportunities for improving the liaison process
- Suggest enhancements to project and operational workflows
- Participate in post-project reviews to refine the liaison role for future projects
Your profile:
- More than 5 years of Facility Management, Hoteling or Hospitality experience in similar corporate sites
- Excellent people skills and ability to interact with a wide range of client staff and demands.
- Knowledge of vendor management for specialized services
- Fluent speaking & writing skills in German and English
- Strong IT skills
- Ability to effectively deal with stressful situations
