This position is limited to 1 year with an option for permanent employment if it proves to be an excellent mutual fit. Expected Start: September 2025
Tasks:
Your position is central to how our team operates and critical to fulfilling our department’s responsibilities within the faculty and university. You’ll be the linchpin connecting our events, outreach activities, and internal communications, ensuring quality, clarity, and consistency in everything we do.
Events (Recurring & Special)
- Lead event planning and execution from bright ideas to flawless execution
- Coordinate all involved parties and handle logistics, including scheduling, venue selection, catering, and technical arrangements, ensuring that no detail is left behind
Outreach & Communication
- Maintain a big-picture perspective, and align our communication and outreach strategies with faculty priorities and broader university initiatives
- Strategically engage stakeholders in research, industry, politics, and among our students and alumni, maintain contact databases, and manage invitation and registration workflows
Tracking & Coordination
- Monitor and analyze decentralized activities in your area, across the faculty and university- wide, to identify collaboration opportunities and synergies
- Coordinate effectively with our research units and partners, ensuring clear visibility of our outreach activities and events across the board
Team Collaboration & Development
- Within your area, act as the go-to liaison for faculty members, proactively offering solutions and fostering connections within and beyond the faculty
- Collaborate closely with the team to refine processes and occasionally take the lead on special projects
- Guide and support student staff, helping them grow professionally
Daily Operations
- Step into various roles as needed, especially when new initiatives and opportunities arise
- Occasionally lend a hand with our routine PR and social media tasks
Why This Role Matters
We’re a small but integral team within a large, dynamic, and international faculty. Structurally, Communications is a Specialized Department ("Stabsstelle") reporting directly to the Dean of Informatics. Your contributions will be recognized and valued, and are essential to our shared success. Your role significantly shapes how our faculty is perceived and substantially boosts our ability to engage meaningfully with our diverse stakeholders.
Your profile:
- Professional Expertise: You have several years of relevant professional experience. While event management or familiarity with a university context is defiantly a plus, we’re not looking for junior or support staff--we’re looking for a seasoned Expert Generalist: someone who brings expertise, curiosity, and initiative and who enjoys learning new skills and taking ownership within a collaborative team
- Communications Skills: You’re perfectly at ease writing and speaking in both German and English. German is currently our primary team language, but English is the official language across our diverse faculty, with members from over 55 nation; expect many interesting conversations
- Organizational Talent: You naturally create order and clarity in dynamic environments and enjoy refining existing processes or building new ones
- Comfort with Ambiguity: Uncertainty doesn’t faze you. You can keep multiple projects moving forward simultaneously without sacrificing quality
- Independence & Collaboration: You can drive projects solo but are equally comfortable collaborating closely with others
- Proactive Problem-Solving: You identify gaps before they become issues and proactively find effective solutions
- Working Style: You’re serious about quality output but appreciate working in a relaxed, approachable atmosphere (humor encouraged!)

Entry level salary is determined by the level IVA of the Austrian collective agreement for university staff. This is a minimum of currently EUR 3,390.30/month gross, 14 times/year for 40 hours/week. Relevant working experiences may increase the monthly income.
