At ZSR, we are building a more sustainable future with Solskin—our revolutionary solar facade. As we scale, our internal processes need to be as smart as our hardware. We are looking for a reliable, tech-savvy professional to join our Zurich team as an Office & Admin Coordinator. Your goal is to "clean the sand out of our gears" by building a solid operational foundation that allows the whole team to move faster.

Tasks
Operations Excellence: Build and maintain our internal "operating system" using Google Workspace, Odoo and HubSpot. You will ensure data is clean and workflows are efficient.
Institutional Liaison: Lead our administration regarding Swiss authorities, insurance providers, and reporting requirements.
Financial & HR Admin: Support the team by managing invoices and HR-related paperwork, ensuring everything is processed correctly in our systems.
Back-Office Strategy: Coordinate correspondence, track internal deadlines, and support the team with organizing events or partner visits.
Team Support: Act as the organizational "glue," ensuring the office and our processes support a high-achieving team.
Requirements
- Relevant Experience: You have experience in an office management or administrative role. You know how to navigate the Swiss administrative landscape and understand the needs of a growing company.
- Technical Affinity: You are very comfortable with digital tools. If you’ve worked with Odoo and HubSpot before, that’s a huge plus. If not, you should be the type of person who picks up new software quickly.
- Communication: Excellent communication skills in both German and English are a must for dealing with Swiss authorities and our international team.
- Reliability & Ownership: You are someone who sees a gap and fills it. We value independence—we need someone who executes without needing constant reminders.Mindset: You are down-to-earth and proactive. You understand that in a startup, small organizational fixes often have the biggest impact.
