The role
As Workplace Manager, you will be a key figure in shaping the environment of our Berlin office. This role involves not just the day-to-day running of our facilities, but also project managing our new office project. You will be responsible for the overall effectiveness, safety, and employee experience within Helsing's Berlin facilities. You will play a crucial part in fostering a productive, inclusive, and collaborative atmosphere for your colleagues and Helsing's customers.
The day-to-day
New Office Project Management: Coordination, and execution of opening Helsing's new Berlin office, including vendor negotiation, space planning, and overseeing the move to ensure minimal disruption.
Dynamic Space Planning: Continuously assess and adapt office layouts and space allocation to support evolving team structures and changing project needs, ensuring an optimal environment for collaboration and focus.
Reception & Guest Experience: Own the front-of-house experience, ensuring all visitors, partners, and candidates receive a warm, professional, and secure welcome that reflects Helsing's culture
Health, Safety & Environmental (HSE) Compliance: Take ownership of HSE compliance for all Helsing GmbH facilities, working with landlords and implementing necessary programs to ensure a safe and secure environment
Budget & Vendor Management: Manage the Berlin office and facility budget, including all related project costs, and oversee relationships with suppliers and contractors
Team & Culture: Help to create a warm and inclusive atmosphere for all Helsing employees, partners, and customers through well-managed facilities and organised events
Daily Operations: Oversee the smooth day-to-day running of the office, including maintenance, office systems, and supplies
You should apply if you
Have proven experience in workplace or facilities management, including significant project management experience with office moves or build-outs
Possess a strong knowledge of, or keen interest in, German Health, Safety & Environmental regulations, ideally within a secure environment
Demonstrate exceptional organizational and project management skills, with the ability to manage multiple priorities in a fast-paced setting
Are a strategic thinker with a talent for problem-solving and relationship-building

Are fluent in both German and English
This role is based in our Berlin office 5 days a week
