We are looking for a reliable and detail-oriented People & Operations Administrator to support our day-to-day People Operations, administrative processes, and accounting-related workflows.
This is a junior, hands-on role that sits at the intersection of HR administration, payroll coordination, office operations, and accounting support. You will work closely with the Finance Manager and People Team, ensuring that employee lifecycle processes, payroll inputs, and accounting documentation are accurate, complete, and delivered on time.
This role is ideal for someone early in their career who enjoys structured work, takes pride in execution quality, and wants broad exposure to how a company operates behind the scenes.
Tasks
Employee Lifecycle Administration
- Prepare employment contracts, contract amendments, and HR documentation
- Support onboarding and offboarding processes
- Maintain accurate employee records and personnel files for payroll input data and support in payroll review
- Handle day-to-day employee-related administrative requests
- Manage sensitive and confidential employee data with care
Accounting & Month-End Support (Secondary Focus)
- Post journal entries in Xero under supervision
- Support month-end close activities and reporting preparation
- Assist with reconciliation checks and documentation
- Support invoice tracking, coding, and organization
- Maintain clean, audit-ready accounting documentation
Process Documentation & Operational Support
- Maintain and update process documentation (SOPs, checklists, templates)
- Support improvements to People, admin, and accounting workflows
- Ensure consistency and structure across tools and systems
Requirements
- Strong Excel / Google Sheets skills (formulas, lookups, pivots, data hygiene)
- Prior exposure to finance or administrative processes (internship, working student role, or similar)
- Experience using finance or ERP tools (e.g. Xero, DATEV, SAP, NetSuite, or similar)
- High attention to detail and a structured, reliable working style
- Confidence working with sensitive and confidential data
- Fluency in both English and German
- Available for 20 hours per week
