We are seeking a versatile

Receptionist / Site Operative (m/f/d)

to join our Facilities Management team. In this dual-function role, you will be responsible for ensuring smooth day-to-day facility operations while also providing professional front-desk reception services. The ideal candidate will combine practical maintenance skills with excellent customer service abilities to create a well-maintained and welcoming environment.

Key Responsibilities:

Site Operative Tasks:

  • Perform regular inspections of buildings, grounds, and equipment to identify maintenance needs

  • Execute preventive maintenance tasks according to established schedules

  • Respond quickly to maintenance requests and emergency situations

  • Complete basic repairs and troubleshooting across multiple disciplines (electrical, plumbing, HVAC, etc.)

  • Assist with space management, including furniture assembly and office reconfigurations

  • Ensure compliance with health and safety regulations, including regular safety checks

  • Monitor building systems, reporting any irregularities to management

  • Escort and supervise external contractors while on site

  • Maintain accurate records of maintenance activities and inventory of supplies

  • Participate in emergency response procedures as require

Reception Duties:

  • Provide a warm, professional welcome to all visitors and staff

  • Manage the visitor management system, including check-in procedures and badge issuance

  • Handle incoming calls, routing them appropriately and taking messages when necessary

  • Process incoming and outgoing mail and deliveries

  • Coordinate meeting room bookings and prepare conference facilities

  • Support basic administrative tasks as needed

  • Maintain the reception area in a neat, organized, and presentable condition

  • Monitor building access and security systems during reception hours

  • Support internal communications as directed by management

  • Assist with basic IT troubleshooting for meeting rooms and reception equipment

Qualifications:

  • Previous experience (2+ years) in facilities maintenance and/or reception roles

  • Working knowledge of building systems, maintenance procedures, and safe working practices

  • Basic technical skills across multiple disciplines (electrical, plumbing, carpentry, etc.)

  • Excellent interpersonal and communication skills

  • Customer service orientation

  • Computer literacy including Microsoft Office applications

  • Good problem-solving skills and practical approach to challenges

  • Flexibility to prioritize between reception and maintenance duties

  • Experience with visitor management systems (advantageous)

  • Relevant certifications in health and safety or technical areas (advantageous)
