Office Manager & Team Assistant
(d/f/m) in part time (20 – 32 hours per week)
About you
The Tasks
About you
- Excellent organizational skills with a strong sense of prioritization and time management
- High level of service orientation and a professional, friendly demeanor
- Confident handling of MS Office (especially Outlook, Word, Excel, PowerPoint) and common office tools
- Experience in office management, team assistance, or administrative roles
- Strong communication skills in English and German, both written and spoken
- Independent, structured, and proactive way of working
- Discretion and a strong sense of responsibility when handling sensitive information
- Resilience and flexibility in a fast-paced agency environment
The Tasks
- Organizing and coordinating daily office operations
- Acting as the first point of contact for employees, visitors, and external partners
- Coordinating meetings and appointments, including preparation and follow-up
- Supporting teams and management with administrative and organizational tasks
- Planning and booking business trips, including expense administration
- Ordering and managing office supplies and maintaining office infrastructure
- Coordinating external service providers (e.g. cleaning, IT, maintenance)
- Supporting internal events, workshops, and agency-wide activities
- Maintaining lists, databases, and internal overviews
- Contributing to the continuous improvement of office processes and internal workflows
