Das Leibniz-Institut für Alternsforschung - Fritz-Lipmann-Institut e.V. (FLI) in Jena ist eine von Bund und dem Freistaat Thüringen gemeinsam finanzierte Forschungseinrichtung in der Leibniz-Gemeinschaft. Am FLI wird international sichtbare Spitzenforschung zur Biologie des Alterns auf molekularer, zellulärer und systemischer Ebene betrieben. Wissenschaftlerinnen und Wissenschaftler aus rund 40 Ländern erforschen die Mechanismen des Alterns, um dessen Ursachen besser zu verstehen und Grundlagen für Strategien zu schaffen, die gesundes Altern fördern. Wir suchen zum nächstmöglichen Zeitpunkt eine Teamassistenz (m/w/d) in Teilzeit mit sprachlicher Qualifikation Englisch:

Teamassistenz (m/w/d)

Ihre Aufgaben:

Erledigung von Verwaltungs-, Organisations- und Kommunikationsaufgaben sowie Korrespondenz in Deutsch und Englisch
Planung und Organisation von Reisen der Forschenden, sowie Terminmanagement
Unterstützung bei Recruiting und Onboarding neuer Mitarbeiter in den Forschungsgruppen
Organisation von Kolloquien und Gastwissenschaftler Aufenthalten
Organisation wissenschaftlicher Meetings und Vorträge, einschließlich Budgetplanung
Sprachmittlung, Übersetzungen und Protokollführung von Meetings in Deutsch oder Englisch
Pflege von Datenbanken mit wissenschaftlichen Leistungsdaten
Digitalisierung und Archivierung von Dokumenten
Mitarbeit bei der Optimierung von Prozessen

I hr Profil:

Erforderlich ist eine Sozial- und Methodenkompetenz (Problemanalyse, konzeptionelle und lösungsorientierte Arbeitsweise, Arbeitsmethodik etc.), wie sie durch eine mind. 3 - jährige Ausbildung oder ein Bachelorstudium vermittelt wird, gekoppelt mit nachweisbarem Interesse für Verwaltungsprozesse und Office Management
Berufserfahrung in vergleichbarer Tätigkeit, idealerweise in einer Forschungseinrichtung oder Hochschule
Sehr gute englische Sprachkenntnisse, mind. B2 Niveau
Erfahrung in Veranstaltungsorganisation sowie fundierte Anwenderkenntnisse der digitalen Datenverarbeitung, idealerweise Erfahrung mit Datenbanken
Interkulturelle Kompetenz, Teamfähigkeit und ausgeprägte Organisations- und Kommunikationsfähigkeit

The Leibniz Institute on Aging - Fritz Lipmann Institute (FLI) in Jena is a federal and state government-funded research institute and member of the Leibniz Association (Leibniz-Gemeinschaft). FLI’ s internationally visible and highly competitive research is focused on understanding the mechanisms of aging and associated age-related diseases. Scientists from over 40 countries are currently investigating the molecular mechanisms of aging and the occurrence of age-related diseases. We are looking for a Team Assistant (m/f/x) in part time with English language qualifications to join us as soon as possible:

Team Assistant (m/f/x)

As a Team Assistant (m/f/x), you will support the researchers in administrative and organizational processes. In this central interface function, you will be very familiar with the administrative processes of the FLI and work closely with the administrative departments. Through your support, you will make a significant contribution to smooth research operations and help us to successfully fulfill our mission.

Tasks:

Handling of administrative, organizational and communication tasks as well as correspondence in German and English
Planning and organization of business trips for researchers, as well as appointment management
Support in recruiting and onboarding new employees in the research groups
Organization of colloquia and guest researcher stays
Organization of scientific meetings and lectures, including budget planning
Language mediation, translations and taking minutes of meetings in German or English
Maintenance of databases with scientific performance data
Digitization and archiving of documents
Collaboration in the optimization of processes

Requirements:

Required are social and methodological skills (problem analysis, conceptual and solution-oriented working methods, working methodology, etc.), which are usually acquired through at least 3 years of training or a Bachelor's study - coupled with a demonstrable interest in administrative processes and office management
Professional experience in a comparable position, ideally in a research institution or university
Very good English language skills, at least B2 level
Experience in event organization and profound user knowledge of digital data processing, ideally experience with databases
Intercultural competence, ability to work in a team and strong organizational and communication skills
