Your Responsibilities

The Events Team at ISTA is responsible for organizing a wide range of events, including academic, internal, public outreach, networking opportunities, and hosting visits. We are looking for a flexible and reliable team player who will plan, implement, and promote visits as well as set up operational visit structures and processes in close collaboration with Office of the President, Executive Affairs, Development & Partnerships, and other relevant stakeholders at ISTA.

• Reconceptualize and implement a professional ISTA visits program for different stakeholder groups
• Addressing inquiries and managing specific tour requests
• Ensuring effective project management of visit-related initiatives, including timelines, budgets, and coordination
• Implement best practices to streamline processes
• Communicating professionally with various stakeholders on campus, e.g. Office of the President, Executive Affairs, Development & Partnerships, Communications as well as external partners to ensure a smooth collaboration
• Lead campus tours for organized visits
• Handle administrative tasks, such as reporting and documentation
• Continuously evaluate the offered visits, and analyze visitor data and feedback to improve the service offerings
• Collaborate with the marketing experts on campus to design and execute effective strategies to reach out to defined stakeholder groups
• Ensure a high-quality experience during organized visits

Your Profile

• Academic degree in International Relations, Public Relations, or a related field, along with work experience in the above listed tasks, ideally in tertiary educational institutions
• Demonstrated experience in effective project management
• Proficiency in English and German, further language skills are an asset
• Strong team player with excellent verbal and written communication and interpersonal skills, demonstrating a high level of tact and diplomacy
• Exceptional organizational skills and attention to detail
• High degree of service orientation and hands-on mentality
• Professional appearance and confident manner
• Inspiring and engaging presence when representing ISTA
