To support this transformation, we are looking for an Operations & Systems Manager who will drive process optimization and system implementation across the company.

The Mission

You are the bridge between manual workflows and structured, scalable systems.

You start by deeply understanding how our service model works today — the workflows, the bottlenecks, the delays, and the dependencies across phases.

Then you design, improve, and coordinate the implementation of systems that reduce cycle time, increase transparency, and create operational clarity.

This role is about turning structure into execution and ideas into implemented systems.

Tasks

What You’ll Own

• Analyze end-to-end workflows across marketing, onboarding, operations, and post-sales
• Identify inefficiencies and bottlenecks
• Redesign workflows to reduce idle time and improve predictability
• Coordinate automation initiatives (CRM workflows, API, integrations)
• Define system requirements and collaborate with external specialists when needed
• Support the implementation of a structured customer portal
• Establish milestone-based process logic and accountability
• Create operational dashboards and performance visibility
• Ensure systems are scalable and aligned with company growth

Requirements

What You Bring

Process & Systems Skills

• Experience in process optimization, business systems, or operational project roles
• Strong understanding of workflow design and system logic
• Experience working with automation platforms or CRM tools (e.g. HubSpot, Zapier, Make, similar)
• Ability to translate business needs into structured, implementable solutions
• Comfort coordinating technical projects without necessarily coding yourself

Experience & Mindset

• 4+ years of relevant experience
• Experience in SME or fast-growing environments
• Comfortable working with evolving requirements
• Strong ownership and execution focus
• Analytical thinker who identifies root causes, not just symptoms
