Position Overview
The Accounting Associate is responsible for the day-to-day management of the organization’s accounts payable and accounts receivable functions. This mid-level position plays a critical role in maintaining accurate financial records, ensuring timely payments and receipts, and supporting compliance with grant and donor reporting requirements. The ideal candidate will bring strong accounting skills, attention to detail, and a commitment to the mission-driven work of a non-profit environment.
The ideal candidate is detail-oriented, analytical, and brings proven experience in nonprofit or association financial management. Experience with accounting software is a requirement.
Key Responsibilities:
- Process vendor invoices, employee reimbursements, and credit card statements in a timely and accurate manner
- Ensure proper coding of expenses to appropriate GL accounts, grants, and affiliates
- Monitor outstanding payables and prepare payment batches via check, ACH, or online portals
- Reconcile vendor statements and resolve discrepancies
- Maintain accurate and organized AP files
Accounts Receivable (AR)
- Generate and process invoices for grants, contributions, contracts, and program fees
- Record and apply incoming payments (checks, ACH, online payments) to appropriate accounts
- Monitor aging reports and follow up on outstanding balances
- Responsible for maintaining accurate records, processing updates, generating invoices, and ensuring timely and efficient member communications and renewals in the member database/Customer Relationship Management software .
- Assist with monthly, quarterly, and year-end close by preparing AP/AR-related journal entries and account reconciliations
- Support the preparation of financial reports for AMC and affiliate organizations
- Maintain compliance with organizational policies, grant requirements, and GAAP standards
- Assist with annual audits, including preparing schedules and documentation
- Identify, recommend, and implement process improvements to enhance financial operations, efficiency, and accuracy.
Qualifications
- Associate or bachelor’s degree in accounting, finance, or a related field
- 3–5 years of relevant experience in accounts payable and receivable
- Experience working in a non-profit organization
- Strong attention to detail, accuracy, and ability to meet deadlines
- Effective communication and organizational skills
- High level of integrity and discretion in handling confidential financial information
- Self-motivated, with the ability to work independently as well as collaboratively in a team environment.
