JOB SUMMARY
The Grants Manager is the organizational backbone of our grants management function. You'll ensure that nothing falls through the cracks: deadlines are met, funders are happy, reports are complete, and our grants portfolio stays organized and compliant.

You'll manage our grants from opportunity identification through closeout—researching new funding sources, coordinating the information-gathering process for proposals and reports, tracking deliverables and compliance requirements, and crafting compelling narratives that connect our programs to funder priorities. You'll build and maintain systems that help everyone across the organization understand what's due and when, and you'll flag opportunities that align with our mission for leadership to evaluate.

This role combines strong organizational skills with creative storytelling. You'll need to understand how to reframe our work to align with diverse funding opportunities while staying authentic to our mission and the communities we serve.

PRIMARY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS
Grant Portfolio Management and Tracking (45%)
• Maintain a comprehensive grants tracking system including active grants, pending applications, renewals, and their lifecycle stage
• Track and monitor all deadlines, reporting requirements, and deliverables for current grants
• Create and manage timelines for proposal development, ensuring the team knows what's due and when
• Document compliance requirements for each funder and flag issues proactively
• Serve as the primary internal point person for all grant-related questions and coordination
• Generate regular reports on grant status, upcoming deadlines, and organizational pipeline

Grant Reporting and Data Coordination (25%)
• Coordinate data collection for grant reports by working with program and finance teams
• Organize and synthesize program data, financial information, and outcomes into clear, compelling narratives and supporting documentation
• Maintain grant files and documentation for compliance and audit purposes
• Ensure reports are submitted on time and meet funder requirements
• Draft grant reports in collaboration with leadership and program staff

Grant Prospecting and Opportunity Development (10%)
• Research and identify new grant opportunities aligned with organizational priorities
• Screen opportunities for strategic fit and present summaries to leadership for decision-making
• Track funding landscape changes and pipeline opportunities
• Maintain organized files on prospective funders and funding sources

Grant Writing and Narrative Development (20%)
• Draft compelling grant proposals and letters of inquiry that connect P+P's programs to funder priorities
• Translate our programmatic work into language that resonates with diverse funding audiences—from community foundations to federal agencies
• Frame our programs for alignment with different funding opportunities while maintaining authenticity to our mission
• Write from a place of community empowerment and strength (not deficit) when describing the people we serve
• Adapt tone and approach for different funders while centering the experiences and voices of BIPOC communities
• Collaborate with leadership and program staff to ensure accurate, compelling storytelling
• Revise and refine drafts based on feedback from Executive Director and program teams

KEY RESPONSIBILITIES

MINIMUM QUALIFICATIONS
Overall, P+P seeks candidates who are smart thinkers, are self-directed yet collaborative, care about making people's lives better, and demonstrate strong judgment with the ability to know when to ask questions and when to take initiative.
• 2-4 years of experience in nonprofit operations, program coordination, project management, customer service, database/CRM management, or related fields
• Strong organizational skills with keen attention to detail, accuracy, and follow-through
• Excellent written and verbal communication skills--able to write clearly, compellingly, and adapt style for different audiences and contexts
• Demonstrated ability to write persuasively and tell stories that connect with diverse audiences
• Comfort learning and using new software systems, including databases, CRM platforms, and grant management tools
• Demonstrated ability to manage multiple projects and competing deadlines
• Proven ability to work effectively and build relationships with people whose identities and backgrounds may differ from your own
• Connection to or experience working with BIPOC communities, with ability to communicate about community strengths and assets (not deficits)
• Comfort with data, spreadsheets, and financial information

PREFERRED QUALIFICATIONS
• Experience with federal, state, or foundation grant compliance and reporting requirements
• Background in nonprofit grant coordination, program management, or advancement
• Experience organizing and presenting data or financial information
• Understanding of nonprofit budgeting and fund accounting basics

WORK ENVIRONMENT
• This position operates in an office environment that is accessible
• This role routinely uses standard office equipment
• While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to move around the office; grab, move, and manipulate objects; and operate a computer.
