Responsibilities
The Institute of Softwareengineering and Artificial Intelligence at the Faculty of Computer Science and Biomedical Engineering at TU Graz is looking for a committed and organizationally experienced employee in office management to support the institute management and the team as soon as possible. You will be responsible for a variety of administrative and coordinative tasks to ensure smooth operations.
You will be involved in an up-and-coming young faculty where you will be regularly networked with colleagues from other institutes and thus become part of a dynamic and interdisciplinary working environment. Your tasks will include
Communication:
- Communication and advice: You will be available to students, guests and employees of the institute as a competent contact person, advising them professionally and supporting them with their concerns - in both German and English.
Financial administration at the institute:
- Cost and project management: you will actively support the administration and control of the institute's budget. You will ensure efficient planning and monitoring of financial resources.
- Procurement process: You will handle the ordering process via SAP Fiori, including requests for quotations, preparation and account assignment of orders and checking delivery bills and invoices.
- Project planning and billing: You are responsible for creating projects in the electronic reporting process and contribute to the creation of budget plans and calculations. You will support project accounting and prepare for audits.
Personnel administration:
- Administration of personnel matters: You support with job advertisements incl. internal application processes, correspondence with applicants, as well as the admission process for new employees.
- Contract processing: You are responsible for preparing the documents and obtaining the necessary data in cooperation with the relevant internal departments for the processing of employment contracts.
- Travel assistance: You coordinate the electronic travel administration via SAP Fiori.
Teaching:
- Course administration: You will also take on important organizational tasks in the area of teaching. This includes planning and organizing examinations as well as maintaining the relevant data in the internal administration tool TUGRAZonline.
Public relations:
- Event organization: You will support the organization and coordination of conferences, congresses and other events, including scheduling and location planning, travel administration for participants and event billing.
Admission Requirements
- Completed commercial education or comparable qualification (apprenticeship, technical college) or relevant qualification with administrative work experience
- Very good knowledge of German and English
Desired Qualification
- Matura preferable
- Professional experience in an office environment or knowledge of university structures would be an advantage
- Very good IT skills (MS Office), knowledge of SAP an advantage
- Service-oriented and friendly personality with an independent way of working
- Willingness to work in a university and multicultural environment

We offer an annual gross salary of at least € 35,841.40 for a fulltime position. An overpayment based on qualification and experience is possible.

The Institute of Software Engineering and Artificial Intelligence is concerned with the theoretical, practical and applied aspects of software engineering. Research lies in the field of intelligent systems, formal verification and systematic testing of software, artificial intelligence, requirements engineering, recommender systems, optimization of industrial problems, agile software development processes, intelligent autonomous robots, innovative software engineering education, integrating AI techniques within coding education and DevOps processes, AI applications in understanding the cognition of octopuses contrasted with artificial neural networks, and investigates strategies to responsibly address the challenges posed by future AI superintelligence.
