Description:
The Enrollment Operations Coordinator is an essential part of the enrollment team, responsible for the systems, data, and management of enrollment processes. This role manages the CRM database, data analytics and reporting, assessment administration, event logistics, and onboarding workflows. As a collaborative thought partner, this individual provides insight and support to members of the enrollment team, ensuring that data, assessments, and logistics support an excellent experience for prospective families.
Key Responsibilities:
Data Management & ResearchManage CRM system functionality, pipelines, user access, and field structures.
Design and maintain dynamic dashboards and reports for funnel analysis and enrollment forecasting.
Monitor conversion rates at each stage of the funnel (inquiry to application, application to enrollment).
Develop and manage weekly, monthly, and quarterly data reports to support strategic initiatives.
Audit and clean data regularly to ensure accuracy and completeness.
Track event data, yield from specific outreach campaigns, and trends in lead origin
Partner with Admission Officers to generate real-time insights and funnel pacing.
Conduct institutional research projects that inform enrollment strategy, student success trends, and long-term planning.
Schedule and coordinate admission assessments and playgroups, PK-12.
Maintain knowledge of all admission-related assessment tools across PK-12.
Analyze assessment trends and develop reports to inform review processes.
Ensure alignment of admission rubric metrics with school success predictors.
Plan and execute logistics for all enrollment office events, coordinating facility requests, IT, faculty, and volunteers.
Partner with Admission Officers to plan and execute impactful events for prospective families.
Manage PK-12 enrollment processes, including contract management and new family onboarding communication and workflows.
Partner with necessary stakeholders and departments to ensure a seamless family-centric experience with enrollment processes.
All other things as assigned by the supervisor.
Required:
Bachelor’s degree required. Preference in education, admission/enrollment, or a related field.
Demonstrated experience in CRM systems/platforms and data management.
Experience with assessment administration.
High attention to detail and strong organizational skills with a proactive, service-oriented mindset.
Excellent interpersonal skills with the ability to build trust and collaborate across departments and with families.
Commitment to delivering an exceptional experience for prospective families through efficient systems and high-touch operational support.
Familiarity with gathering and analyzing data from multiple sources.
Experience planning events or managing complex logistics.
Collaborative mindset and strong internal communication skills.
Effective cross-cultural communication skills. Able to operate effectively in diverse environments and interact successfully with people from widely varying backgrounds in a friendly and professional manner.
