Über diesen Job

Executive Assistant (80 - 100%)

We’re seeking a detail-oriented Executive Assistant to support the Head Group Communications. If you bring energy, precision and a can-do attitude, this role is your opportunity to make a real impact. You will be at the centre of a fast-moving environment where priorities shift and deadlines matter.

You are highly organised, detail-oriented and able to manage competing priorities under tight deadlines. With excellent time management and problem-solving skills, you adapt quickly to shifting demands while keeping results in focus. You communicate with clarity, build strong relationships across all levels, and show initiative to drive efficiency and take on new tasks as needed.

What you will do:

  • Provide comprehensive administrative support to the Head of Group Communications, managing calendars, correspondence, and travel arrangements

  • Act as a key liaison between the Head of Group Communications and direct reports, GEC members, Managing Directors, and other stakeholders

  • Prepare and coordinate documentation for meetings, ensuring accuracy and timely delivery

  • Handle administrative processes such as expense reports, invoices, and purchase orders

  • Manage incoming communications, prioritise action items, and initiate follow-up actions

  • Draft professional correspondence in both English and German

  • Arrange business travel, including meetings, local logistics, transportation, accommodations, and visa requirements

  • Support the Communications Leadership Team (CLT) process by organising agendas, coordinating pre-reading materials, tracking actions, and arranging offsites

  • Help organise division events such as townhalls and team gatherings

  • Contribute to division-wide projects and initiatives as required

What you'll bring:

  • Strong proficiency with Microsoft Office applications (Outlook, Word, PowerPoint, Excel)

  • Fluency in English and German, both written and spoken

  • Proven ability to handle confidential information with discretion

  • Excellent organisational skills and strong attention to detail

  • Ability to work independently while staying aligned with the wider team

  • Resilience and adaptability during demanding periods

  • Collaborative approach with colleagues and external partners

  • Solution-oriented mindset, with a positive, can-do attitude

  • Previous experience in a comparable executive support role; experience in communications or corporate environments is an advantage

Work arrangements:

  • Based in our Zurich office

  • Occasional flexibility outside standard business hours may be required

  • Candidates must be authorised to work in Switzerland

What we offer

  • A dynamic, high-paced environment where your contribution makes an impact

  • Opportunities for professional growth and skill development

  • Competitive compensation and benefits package

  • Exposure to senior leaders and broad organisational insight

For Switzerland, the base salary range for this position is between 94,000 CHF and 142,000 CHF for a full-time role.

The specific salary offered considers:

• the requirements, scope, complexity and responsibilities of the role,

• the applicant's own profile including education/qualifications, expertise, specialisation, skills and experience. In the situation where you do not meet all the requirements or you significantly exceed these, the offered salary may be below or above the advertised range.

In addition to your base salary, you may be eligible for additional rewards and benefits including an attractive performance-based annual bonus.
